This is the heart of the system, and you can access all of the functions and features of the system from the menus and buttons here. The buttons down the left side are the major modules, data tools, and reports of the system. Across the top are some useful utilities such as the system search, configuration and settings tools, Support, and some administrative functions such as the Time Clock.
The system Home page shown above is what you'll see whenever you log into the system, and has some useful features for you. You can get back to this page from anywhere by clicking the System Logo in the upper left corner.
You are able to set parts of the system you frequently use to appear in this convenient menu, accessible in the upper left from anywhere in the system. When you hover your cursor over the Favorites button, you'll see any you've saved in the flyout menu.
Our on-screen Register module will allow you to sell your in-store items, and has a wealth of features detailed fully here (this link will open in a new browser tab for you). When you open the app, you'll be asked to choose a Till, and you may need to enter a Register PIN code. Once you're all set you can start your first transaction, like the one below.
You can work with Website Orders that have come through in the Orders area on the left. This tool allows you to fulfill your web orders, refund them, mark them as shipped, and print out orders as needed.
If you hover over the Inventory area on the left, you'll see a flyout menu of many useful tools.

The Reports area allows you great flexibility in how you view your sales and inventory data. Reports such as the End of Day, Transaction Detail, and Sales Details allow you many options in different ways you can filter your information. Other reports show you the current status in an area of the system, such as all current Class registrations and the current Inventory Value. The Reports page also has its own Favorites feature, so if you on the Reports button on the left, or click to View All, you can click Star buttons for the reports to which you need fast access.

Bin Locations - If you want to define Bin Locations throughout your store, you can do so here and those will be available when creating products so you can assign them to whatever bin is appropriate. Bulk - You can manage your products and inventory by spreadsheet in the Bulk area. Departments- You can add or edit the Departments you use for organizing and reporting on your products. Gift Cards - You can work with your Gift Cards (usable both online and in the Register), create any you might need for store use, and view a log of Gift Card events, if needed. Packages- The Packages module will give you the ability to offer different combinations of products as package deals at a single combo price. Precuts- You can use the Precuts module to break a product up into multiple products (e.g. you can create 4 quarter-yard Fat Quarters from a yard of fabric). Products- In the Products area, you can create a New Product, access a searchable and filterable list of your Products, and do on-screen bulk edits, exports and imports to spreadsheets and purchase orders, label prints, and deletions, if needed. Serialized- The Serialized inventory tool will let you adjust or add serial numbers to serialized inventory you sell. Services- You can work with your Services you use in Work Orders, adding new ones and configuring them as needed. Stones- This module allows you to work with your stock of Stones by cut, weight, type, etc. if you work with and sell precious stones. Transfers- If you have multiple locations, you can do Transfers of inventory as needed between locations. Modules The Modules menu on the left will give you access to some important parts of the system: Appraisals- Your Appraisals are available from here, and you can create new ones as needed. Classes- You can access your Classes from here, and you can create and schedule them as needed. Consignment- If you do Consignment selling, you can access your contracts and work with payouts here. Form Styles - If you need to print documents at letter size, the Form Styles module allows you to configure unique receipts, invoices, work orders, etc. for each of your Locations. Gift Registry - If you have Gift Registry active on your website, you are able to work with those lists here. Invoices- For your Invoices, you can view the list and work with any of them in this area. Layaway- The Layaways module lists your open Layaway agreements and you can open and work with them from there. Live Selling - The Live Selling feature allows you to use social media in live events that can be a successful way to sell items. Loaner- If you do Work Orders, you may want to keep track of any Loaner items you have out, and this module allows you to do so. Online School Rentals - You can manage and work with your school rental contracts in the Online School Rentals module. Payment Plans - If you offer Payment Plans for store-financed purchases, you can track and work with those agreements here. Quotes- You can see the active list of saved Quotes in the system by clicking that link, and those are all saved directly in the Register. Rental Contracts - You can see and work with open Rental Contracts if that part of the system is active for you. Restricted Items - If you need to limit access to some of your inventory, you can configure that in the Restricted Items module. Short Term Rentals - Your Short Term Rental functions are also here for you, allowing you to look up the Rental Status of any active Rental, view your Rental Calendar, and configure the system how you need it to work in the Rental Admin area. Special Orders - The Special Orders page shows a list of all active Special Orders you've created from the Register, allowing you to open and work with them as needed. Subscriptions- If you wish to do periodical Subscription sales, you can set that up in this area. Trial Purchases - For some items, customers will want to do Trial Purchases to make sure the item will work for their preferences. Work Orders - In the Work Orders module you can track and bill for any labor-based work, such as repairs. Purchasing The Purchasing section lets you work with all of your inventory ordering activities: Customer Purchase Orders - If your store is a 'vendor' for organizations that purchase over time throughout a fiscal period from a budget, the Customer Purchase Orders module will allow you to facilitate those purchases, for products and for work orders, and invoice the client as needed. Purchase Orders - You can access and work with your inventory orders from your vendors in the Purchase Orders module, creating new orders as needed. Receiving Orders - You can use the Receiving Orders module to work with your list of orders, and you can create new ones out of PO's made in this system or from scratch if you've already sent in an order. Vendor Consignment - If you do consignment selling with any of your vendors, you are able to track that and manage it through the Vendor Consignment module. Vendor Return - When inventory arrives in an unsellable condition, or for whatever reason might come up, you are able to use the Vendor Return module to handle that inventory reduction in the system. Vendors- Important contact information and a history of your vendor orders are available to you in your main Vendors list page. You can also start new inventory orders for a vendor when viewing their card from this list. Customers The system has excellent resources for working with your customers, from the main Customers list page where you can view one customer at a time, or bulk features and tools for groups and mailing lists in the Customer Filters area. Here are your options: Customer Groups - If you have groups of customers with whom you need to work and communicate in different ways, such as club members or top customers, the Customer Groups module allows you to make as many groups as you need. You are able to add any number of your customers to a group and email to that group as often as you like. Customers- Every website customer that orders from you and every Register customer for whom you create a customer entry will be listed on this page, with full details accessible and bulk features available if needed. Filter Customers - If you like the idea of building marketing email lists based on the shopping history of your customers, this module allows you to do so and create as many filtered lists as you might need. Tailored Product Lists - If you're working on a consultative sale that might take a few visits to close, the Tailored Lists area can allow you to save lists of such items for individual customers so you can track how it's going. Website Our website CMS (Content Management System) has robust tools for you to easily add and update the content you need. Here are your options: Calendar- Our website Calendar allows you to schedule and display information on one-time or recurring events, and can be customized for specific areas, such as your individual locations or by topic, such as a calendar listing only your classes. Categories- You can organize your products for display on the website using the Categories module. You can add sub-categories that go down any number of levels you might need. Files- Our Files tool allows you to manage any files needed in the system, including documents such as PDF file, general files such as audio or video or executable files you might want to sell through your website, or the different images you use throughout the system. Forms- You are able to create and publish website Forms in this module, and you can view responses and form submissions in bulk from here. Navigation- You can create as many website Navigation menu links to pages and resources as you need and organize them into drop-lists under your header items in the main menu. News- Let the world know about what's going on with your organization using the News module to post updates to your website as often as you like. Pages- Create individual website Pages and manage their publication here. If you have a lot of pages, you can organize them in folders to make them easier to find and edit. Store Locator - This tool is great for multi-location stores, allowing you to enter the locations of each of your stores and displaying them automatically on an interactive map you can display on your website. Website Editor - Enter the Website Editor view of the system to update your website content and access all of the tools in this list, and more. Marketing Our Marketing modules offer a wealth of tools for helping you to reach out to customers and potential customers and sell them what you offer. Here are the tools: Communications- Use this module to see how all messages sent out by you and your team and by the system were delivered. Coupons - For both website and in-store promotions, create Coupons using this tool that allow discounts on all items or only specific ones. Email List - Using this module you can build and manage any number of Email Lists you might need. Email Newsletter - You can safely send Email messages to very large numbers of customers using this useful marketing tool. Newsletter Archive - If your newsletters have content that is valuable long-term, showcase those newsletters in the Newsletter Archive, which organizes and offers them to your website visitors. Request Review* - You can use the Request Review tool to send a review request by email or text to a satisfied customer. Scheduled Sale - This useful tool allows you to plan pricing changes for your sales events and set prices to change on specific days and times you need. Text Message* - You can send Text Messages to your customers you've flagged to be eligible to receive marketing text messages from you using this simple tool. * The Marketing Package is required for this module to be active in your system, and requires an addition to your monthly billing. You can get to this part of the system by clicking Customers > Customers. Search for and click on the ID Number for the customer you want to edit, or to start a new one, click the +New Customer button. If you're just creating a new customer, from anywhere in the system you can click on the +Create New button at the top and in the drop-list, click Customer.

Customer Discount - For employees or other customers who are entitled to a Discount, you can add that percentage here. NOTE: this discount will be added to any other discounts applied in the Register, so be careful about the discounts you apply.
Accept Checks - By default, all new customers have this setting toggled to ON. You can change that for customers who do not qualify to use personal checks in your store.

If you set a customer as Wholesale, they will use your Wholesale pricing and will not be taxed for their purchases. If the customer logs into your website as a Wholesale member, they will see the wholesale pricing and descriptions, if they are not logged in, they will see the retail info only. Customers cannot purchase both wholesale and retail in the same transaction.
Inactive - If you set a Customer as Inactive, of course they can still shop with you and they will still function normally in all parts of the system. In the Bulk area of Customers when you download your Customers spreadsheet, you can see which customers have been flagged as Inactive and use that information in your marketing efforts.
Allow Payments On Account - By default this is toggled ON for all customers, and it allows you to create Invoices for the customer, if needed. If this is enabled, you also have the option of adding refund amounts to the customer's account as a credit balance.
Send Notification Text Messages - If you have had us set up the optional Text Messaging service either by itself or with the The Marketing Package, you have the ability to have the system Send Notification Text Messages from parts of the system such as Work Orders, Rent to Own, and Rentals.
Send Marketing Text Messages - Also a feature of our optional Text Messaging service with the Marketing Package, this function allows you to Send Marketing Text Messages to customers in bulk from the Marketing area of Music Shop 360. Please note that both #8 and #9 require that the customer has a valid Mobile Phone number saved in the appropriate field in the Details tab of the Edit Customer panel.
Reward Program Eligibility - If you do not want to have the Customer receive Reward Points for items they purchase, toggle this setting to Off.
Reward Points - This field shows the current number of Reward Points the customer has. Please note that this is not their lifetime total; it is just how many they've generated since they earned their most recent Reward Coupon. You can manually adjust this number, if your login permission level allows.
View Coupons - If you click to View Coupons, the Coupons panel will open, showing the customer's most recent coupons at the bottom. A) You can manually create a Reward Coupon (this is a great way to console a customer whose Reward Coupon may have expired) by clicking the Add Reward Coupon button. B) You can view the transaction in which a Reward Coupon was Issued by clicking on the reward Transaction ID link. C) You can Delete a Reward Coupon. For Reward Coupons that were D) Redeemed, you can click the Transaction ID link to see the transaction in which they were used. If needed, and E) you can see the Expiration Date for each of your Reward Coupons, if you have them set to expire.
Rewards History - Clicking the Rewards History button will bring up a panel showing you the full history of all reward points earned in the customer's history with you, with a line item for each transaction and manual edit. You can click on any transaction to see full details, and you can also click to see Notes on manual changes that were made.
Tax Exempt - For non-profit organizations and other customers that qualify to be Tax Exempt, you can set that for them here.
Tax ID - Be sure to enter this for anyone set to be Tax Exempt for reference if your tax jurisdiction inquires about the customer tax-free purchases.
If you have put in an Email Address for the customer, it will be displayed here, along with all Email Marketing Lists the customer is currently subscribed to. It's important to note that before checking a box to add a Customer to one of your mailing lists (all lists you have created under Marketing > Email Lists will appear here) that you verify with the customer verbally that it's okay for you to do so. If you just automatically add every customer, it is likely several will flag you as a spammer for receiving unwanted emails from you. The more times that happens, the more likely it is that one of the big email providers (Gmail, Yahoo, AOL, etc.) will begin blocking your emails.
Customer Groups the customer has been added to will also have their boxes checked here. You can create groups for your customers in the Customers > Customer Groups tool. This functionality is explained more fully below, but to add a Customer to a Customer Group you've created, check the box for the group of which you would like them to be a part, then click Save at the bottom.
If you are using the Marketing Package, you'll see the different Automated Marketing Emails that are active for your organization.
The Marketing Unsubscribes (not pictured) is something you will only see if you have the Marketing Package and if the customer has chosen to unsubscribe from any of the automated marketing emails. You have the ability, at the request of the customer, to Resubscribe them to marketing emails of which they have opted out.
Serial Number History will display the data below, and you can click on the serial number to view more details about the item. You can also see the original transaction by clicking the Event ID.
Serial Number Detail:
Only the customer's active layaways will display in this view. To view completed ones, you will need to go to Modules > Layaways, and click to Show Completed Layaways. Clicking on the Layaway ID will open the Edit Layaway panel to let you view and edit the Layaway as needed. For more information on working with your Layaways, click here: Layaways. You can click the Pay button to allow the customer to make a payment toward their Layaway purchase. Note that if the customer wants to pay the whole thing off, it is best to click the Layaway ID and click the Pick Up button at the bottom, which will load all remaining charges for the Layaway into the Register.
There are two possible areas for this tab: If your store has Tailored Lists active, you will see a sub-tab for those. You will also see Gift Registry.
For Tailored Lists, if the customer has any, they will appear under the sub-tab. You can click on the list name to add items or edit the list. For more information on working with Tailored Lists, click here.
If your customer has created a Gift Registry, you will see it listed in the sub-tab as pictured below. Unlike Tailored Lists, you cannot view a Gift Registry from this area.

You can get to this part of the system by clicking Customers > Customers. Search for and click on the ID Number for the customer you want to edit, or to start a new one, click the +New Customer button. If you're just creating a new customer, from anywhere in the system you can click on the +Create New button at the top and in the drop-list, click Customer.

Customer Discount - For employees or other customers who are entitled to a Discount, you can add that percentage here. NOTE: this discount will be added to any other discounts applied in the Register, so be careful about the discounts you apply.

Inactive - If you set a Customer as Inactive, of course they can still shop with you and they will still function normally in all parts of the system. In the Bulk area of Customers when you download your Customers spreadsheet, you can see which customers have been flagged as Inactive and use that information in your marketing efforts.
Allow Payments On Account - By default this is toggled ON for all customers, and it allows you to create Invoices for the customer, if needed. If this is enabled, you also have the option of adding refund amounts to the customer's account as a credit balance.
Send Notification Text Messages - If you have had us set up the optional Text Messaging service either by itself or with the The Marketing Package, you have the ability to have the system Send Notification Text Messages from parts of the system such as Work Orders, Rent to Own, and Rentals.
Send Marketing Text Messages - Also a feature of our optional Text Messaging service with the Marketing Package, this function allows you to Send Marketing Text Messages to customers in bulk from the Marketing area of Music Shop 360. Please note that both #8 and #9 require that the customer has a valid Mobile Phone number saved in the appropriate field in the Details tab of the Edit Customer panel.
Reward Program Eligibility - If you do not want to have the Customer receive Reward Points for items they purchase, toggle this setting to Off.
Reward Points - This field shows the current number of Reward Points the customer has. Please note that this is not their lifetime total; it is just how many they've generated since they earned their most recent Reward Coupon. You can manually adjust this number, if your login permission level allows.
View Coupons - If you click to View Coupons, the Coupons panel will open, showing the customer's most recent coupons at the bottom. A) You can manually create a Reward Coupon (this is a great way to console a customer whose Reward Coupon may have expired) by clicking the Add Reward Coupon button. B) You can view the transaction in which a Reward Coupon was Issued by clicking on the reward Transaction ID link. C) You can Delete a Reward Coupon. For Reward Coupons that were D) Redeemed, you can click the Transaction ID link to see the transaction in which they were used. If needed, and E) you can see the Expiration Date for each of your Reward Coupons, if you have them set to expire.
Rewards History - Clicking the Rewards History button will bring up a panel showing you the full history of all reward points earned in the customer's history with you, with a line item for each transaction and manual edit. You can click on any transaction to see full details, and you can also click to see Notes on manual changes that were made.
Tax Exempt - For non-profit organizations and other customers that qualify to be Tax Exempt, you can set that for them here.
Tax ID - Be sure to enter this for anyone set to be Tax Exempt for reference if your tax jurisdiction inquires about the customer tax-free purchases.

It's important to note that before checking a box to add a Customer to one of your mailing lists (all lists you have created under Marketing > Email Lists will appear here) that you verify with the customer verbally that it's okay for you to do so. The more times that happens, the more likely it is that one of the big email providers (Gmail, Yahoo, AOL, etc.) will begin blocking your emails.
Customer Groups the customer has been added to will also have their boxes checked here. You can create groups for your customers in the Customers > Customer Groups tool. This functionality is explained more fully below, but to add a Customer to a Customer Group you've created, check the box for the group of which you would like them to be a part, then click Save at the bottom.
If you are using the Marketing Package, you'll see the different Automated Marketing Emails that are active for your organization.
The Marketing Unsubscribes (not pictured) is something you will only see if you have the Marketing Package and if the customer has chosen to unsubscribe from any of the automated marketing emails. You have the ability, at the request of the customer, to Resubscribe them to marketing emails of which they have opted out.

Serial Number History will display the data below, and you can click on the serial number to view more details about the item. You can also see the original transaction by clicking the Event ID.

You are able to either print or email a statement that will combine open invoices into a single statement. You can also click on an Invoice ID to open an work with it further. Search - Whether viewing Transactions or Items (see #6 below) you can search for items using this area. Transactions - Each Transaction the Customer has done with you will be listed in order with the most recent at the top. You can click on a Transaction ID to open and work with the transaction. The system allows you to check-in inventory from your consignment sellers, facilitates the sales and inventory management, and allows you to track consignment payouts. You can sell Consignment inventory out of your store and through your website. The system will track the in-store sales if you are using the Consignment product labels (see more below on this) and you'll be able to see whatever amounts are due for your consignment sellers. Online, the system will check and if a consignment item is in the cart, it will make sure to associate it with the contract. For full details on the process, see the steps below.
You can configure how you will want your consignment contracts to work by going to the Admin Button (your username in the upper right) > Settings > POS Settings > Consignment.
You are able to specify your Default Payment Method you use to pay your consignment sellers. You can choose from Store Credit, Till (cash or check), Venmo, or PayPal.
If you wish to have limited-durations on your consignment contracts, you can do so by turning Contract Expiration ON and then setting the Default Length in days you want contracts to run.
For the different payout types, you can set different default percentages for Payout Defaults, for example if you want to offer a larger percentage payout for Store Credit over other types, as pictured above.
If you want to set up an automated discount on items, you can turn Discount Item ON and then set the number of Days After the contract starts that the discount would trigger, and the Discount Percent you want to offer.
You will also need to set up your Contract Template(s), if you plan to use the system-generated contracts. Click on Configure to to see the setup panel, as pictured below:
You can paste text for a contract in here, adjust terms to fit a specific contract type, and save the template. You can also use the standard automated data fields, as pictured above in red, to auto-fill items into the contract by pulling them from the Customer data. Save as many templates as you need!
If you prefer to upload pre-printed contracts at signing, the system can facilitate that as well.
Please Note: For the automated data fields in red, many more will be added in the near future.
For contracts that expire and for which the consignment seller does not reclaim the item(s), you are able to Convert Consignment Inventory to Store Inventory by turning the setting ON and setting the number of Days after the contract expires for the inventory to convert over to the store.
Be sure to Save your settings once you are finished configuring your Consignments!
1) Go to the Register, either by clicking the Register button on the far left.
2) Load the Consignment Seller as the Customer at the top, or create a new Customer for the seller.
3) Click any of the Customer Action buttons on the right, as pictured above.
4) The Customer Actions panel will pop up on the right. You'll see Consignment in the left column near the bottom. Click the Plus Button.
5) The Consignment Contract Details panel will open and will list the customer's information at the top. For now, leave the Contract section alone and go to the Items area.
6) Add the Item(s) you are receiving from the seller. You can either search for an existing item, if it is already saved in the system, or you can click the Plus button on the right to create a new product. You can add as many items as you need.
7) If you are creating a new product, we have streamlined the creation process so that only key details are required, to save you time at the Register. Add the Product Title, Department is optional. If the item has multiple styles, such as colors and sizes, you can create those as well. If it is a serialized item, toggle Track Serial Number to ON (see example below). You can set the Condition for the item from the drop-list. If you are not yet ready to set the selling Price, you can leave it blank for now. After you complete the receiving process, you can open the product in the normal way and add full details. Click the Save Product button when you're done.
8) Once you have the item loaded, you'll see the following options. If the item was already saved in the system with an image, it will display next to the Title. You can enter the Serial Number (for non-serialized items, a Quantity field will display for how many of the items are being traded in). If you need to start a Work Order for the item, you can select the service it needs from the Work Order drop-list, and once this Trade-In is saved, the Work Order will automatically be created for you. You have the option to set a Minimum Price the seller would be willing to accept if the item isn't selling and if you need some negotiation room for customers.
9) In the Contract section (see above), you can set your Net to Consignor percentage, add Notes, and select a Contract Template from those you have saved. Click the drop-list for Upload Signed and you can choose to either Print the Contract, Email a Digital Signature, Collect a Signature on Terminal (this requires Worldpay integration and the Verifone MX-915 terminal), or No Signature. Once you have set that preference, you can click the Upload Signed button to upload the contract file and save it to the seller's account.
10) Once everything is in place, click the Create Consignment at the bottom, and the inventory will go into stock. If the item(s) are in active Work Orders, they will be listed in Reserved status, and will not be available for sale until their Work Orders are completed.
You have two key resources for working with your Consignments: The Consignment Report, and the Consignment Module.
This report can look at whatever date range and contract status you might need, and gives you a financial summary of how your consignments are performing for your sales. You can Export the data to a CSV (universal spreadsheet file) as needed. This report is found under the main Reports menu as soon as Consignment functionality is activated.
The Consignment module can be found under Modules > Consignment and will be your primary tool for managing and paying out on your consignment sales. Each item is given its own line, so for example, lines two and three above have the same Contract ID number, so they were received in the same Consignment 'batch', but in the module they are each listed separately so the items can be worked with individually for sale.
On the far right, if you click the option button at the end of a line item (three-dot stack button), you can Print a Barcode Label or Return the Item to the Consignor. Please see the note below about how necessary barcode labels are for the consignment sale process. You can filter the list you see at the top by Date Range, Consignment Status, and Store Location (if you have multiple Locations in the system). Also, each line-item has a Check-Box on the far left, allowing you to do bulk actions, such as printing barcode labels.
Please Note: For a Consignment item to register in a transaction as a consignment sale, you MUST scan the barcode produced above or from the consignment contract panel, so you will want to print barcode labels for each consignment item you sell.
You will sell consignment items through your point of sale register.
Please Note: At this time our Consignment functionality does not associate the items sold through your website with the Consignment ID, so the Payout area will not show such items as having been sold and as being eligible to be paid out.
For the Register, just be sure that your sales clerks are trained to scan the barcode printed from the Consignment module whenever they make a consignment sale. As often as you need, you can open the Consignment Module and click the Pay Consignor button. When you do, the Pay Consignors panel will open and will look something like this:
Each consignor's items that have sold and have not yet been paid out will be listed. You can see the Due to Consignor amounts for each seller. The system does not print checks to pay the consignors, you will need to do that manually using the amounts listed here, but once you have done so, you can toggle the Mark as Paid to Yes and those items will be marked as Paid.
Before being able to payout with PayPal and Venmo, you will need to set up a PayPal Business Account. This account will be used to payout with both PayPal and Venmo. It will be your responsibility to make sure that there are enough funds in the account to cover your payouts. In order to create the PayPal Business Account please click here. Next you will need to get access to PayPal Payouts. Please request access here.
After setting up your account and once your access to PayPal Payouts has been approved, you will need to save some unique credentials from the account in our system in order to connect the consignment system and PayPal for this integration. You will need the Business Account Email, your Client ID, and the Secret Key. This is accessible by logging into PayPal with your business account then going to My Apps > Credentials.
That's it! You're all set.

If you are not yet ready to set the selling Price, you can leave it blank for now. After you complete the receiving process, you can open the product in the normal way and add full details. Click the Save Product button when you're done. 8) Once you have the item loaded, you'll see the following options. If the item was already saved in the system with an image, it will display next to the Title. You can enter the Serial Number (for non-serialized items, a Quantity field will display for how many of the items are being traded in). If you need to start a Work Order for the item, you can select the service it needs from the Work Order drop-list, and once this Trade-In is saved, the Work Order will automatically be created for you. You have the option to set a Minimum Price the seller would be willing to accept if the item isn't selling and if you need some negotiation room for customers. 9) In the Contract section (see above), you can set your Net to Consignor percentage, add Notes, and select a Contract Template from those you have saved. Click the drop-list for Upload Signed and you can choose to either Print the Contract, Email a Digital Signature, Collect a Signature on Terminal (this requires Worldpay integration and the Verifone MX-915 terminal), or No Signature. Once you have set that preference, you can click the Upload Signed button to upload the contract file and save it to the seller's account. 10) Once everything is in place, click the Create Consignment at the bottom, and the inventory will go into stock. If the item(s) are in active Work Orders, they will be listed in Reserved status, and will not be available for sale until their Work Orders are completed. Managing Consignments and Paying Sellers You have two key resources for working with your Consignments: The Consignment Report, and the Consignment Module. The Consignment Report This report can look at whatever date range and contract status you might need, and gives you a financial summary of how your consignments are performing for your sales. You can Export the data to a CSV (universal spreadsheet file) as needed. This report is found under the main Reports menu as soon as Consignment functionality is activated. The Consignment Module The Consignment module can be found under Modules > Consignment and will be your primary tool for managing and paying out on your consignment sales. Each item is given its own line, so for example, lines two and three above have the same Contract ID number, so they were received in the same Consignment 'batch', but in the module they are each listed separately so the items can be worked with individually for sale. On the far right, if you click the option button at the end of a line item (three-dot stack button), you can Print a Barcode Label or Return the Item to the Consignor. Please see the note below about how necessary barcode labels are for the consignment sale process. You can filter the list you see at the top by Date Range, Consignment Status, and Store Location (if you have multiple Locations in the system). Also, each line-item has a Check-Box on the far left, allowing you to do bulk actions, such as printing barcode labels. Please Note: For a Consignment item to register in a transaction as a consignment sale, you MUST scan the barcode produced above or from the consignment contract panel, so you will want to print barcode labels for each consignment item you sell. Selling Items and Paying Out You will sell consignment items through your point of sale register. Please note that at this time our Consignment functionality does not associate the items sold through your website with the Consignment ID, so the Payout area will not show such items as having been sold and as being eligible to be paid out. For the Register, just be sure that your sales clerks are trained to scan the barcode printed from the Consignment module whenever they make a consignment sale. As often as you need, you can open the Consignment Module and click the Pay Consignor button. When you do, the Pay Consignors panel will open and will look something like this: Each consignor's items that have sold and have not yet been paid out will be listed. You can see the Due to Consignor amounts for each seller. The system does not print checks to pay the consignors, you will need to do that manually using the amounts listed here, but once you have done so, you can toggle the Mark as Paid to Yes and those items will be marked as Paid. Payouts: Setting up with PayPal and Venmo Before being able to payout with PayPal and Venmo, you will need to set up a PayPal Business Account. This account will be used to payout with both PayPal and Venmo. It will be your responsibility to make sure that there are enough funds in the account to cover your payouts. In order to create the PayPal Business Account please click here. Next you will need to get access to PayPal Payouts. Please request access here. After setting up your account and once your access to PayPal Payouts has been approved, you will need to save some unique credentials from the account in our system in order to connect the consignment system and PayPal for this integration. You will need the Business Account Email, your Client ID, and the Secret Key. This is accessible by logging into PayPal with your business account then going to My Apps > Credentials. That's it! Company Name - this will always be displayed as your company name as it appears on the first panel of the system Settings area and cannot be changed.
UPC and Other Identifiers - Choose the priority of which data will display:
Also, for label sizes 1"x1", Dumbbell 1up, Dumbbell 2up (Dymo) and Long Tail, the barcode will actually be an internal number to save space, but it will always be able to pull up the product when scanned. The number below the barcode will always follow the logic you set up for the custom label (so even if the barcode is an internal ID, the value that displays under it will be the UPC, MFR ID, etc.)
If you have a barcode in your custom label template, then UPC, SKU, or Manufacturer Number will already be included directly under the barcode. We only recommend adding this data type separately if you are not including a barcode in your custom label template. Otherwise, you may have duplicated content printed.

These labels have 2 printable areas, the left side and the right side, while the middle is not a printable area. Because of this, dumbbell labels have an extra tool to allow you to select which side a label detail should go on. L represents the left side, and R represents the right side.

The Label Preview will display placeholder information in the size and style each item is configured and will update as you make changes. This area is more than just a preview: you can drag and drop data items around the layout and position them wherever there is available space. You can also click and drag on the border of an element to reduce or increase its available space on the label. See the section below on Adjusting and Styling Your Labels for further details on how this works. After you click on one of the data elements in the label, either in the button sidebar or on the preview, the Customization Area will show you options on how you can resize, format, and reposition items. There are videos about each of the major data types you can add in the sections below that show you how to configure each. For example, the section on Data Elements You Can Add to Your Labels starts with Manufacturer ID, UPC, and SKU and shows you how you can work with those codes. If you are configuring a data element as described above in #5, if you need to, you can click to Reset it and the configuration will revert to default settings for you. When you've made all the adjustments you need for your custom label, you can click the Save button and it will be saved in a list for you. You can reopen saved labels to further configure them if needed. If you don't have any changes that need to be saved, click Cancel to close the window. Creating and Managing Custom Labels You can create as many custom labels as you wish. Label names must be unique. You can edit and delete existing labels. They are shared between locations if you have multiple locations in the system. Adjusting And Styling your Labels - The Basics You can adjust the font size bigger and smaller. You can align the text left, center, and right. You can choose to bold the text. You can add and remove various data points so only the info you want is included on the label. You can click and drag to adjust the max width for your label detail fields to handle the various lengths of data for products such as Product Title. We display a warning when your label detail fields overlap and we recommend adjusting them so they don’t overlap before saving (but you can save when they are overlapping). Fields in this state appear in red. Label Defaults - Learn About the Default Label Details Defaults- When you create a new custom label, we will display default label data and formatting. Here’s what’s in the tooltip If you have more than one variation type such as size and color, they will be printed one after another on the same line. For Example: with variations "Size: 4; Color: Gold" or without variants "4; Gold" Data Elements You Can Add to Your Labels MFR Number, SKU, and UPC If you have a barcode in your custom label template, then UPC, SKU, or Manufacturer Number will already be included directly under the barcode. We only recommend adding this data type separately if you are not including a barcode in your custom label template. Otherwise, you may have duplicated content printed. Serial Number and Condition With the. new printing flow, you will be able to select which inventory you want to print so now we can include serial numbers and their conditions on the printed labels. The Serial Number field in the editor allows you to try out sample serial number lengths to make sure the area is wide enough to fit all the data. The Condition dropdown lists all condition types, so you can test the conditions you use and make sure they fit in the allotted space. If you have serialized conditions, the serial number’s condition will be printed. If you don’t have any serialized conditions, it will use the non-serial condition for a product. Current Date and Date Added Both date options allow you to select what type of formatting will be used to display the date. Current Date will always be the date when you are printing the label. Date Added - you can select which inventory you would like to print for a product, so whatever inventory you select, the date that inventory was added is what will print for this label detail. Bin Locations and Vendor Bin Locations - we decided to only include a very basic example of a 2 level bin location because they are so customizable and can drastically vary between stores. But if Bin Location is added to your custom label, it will print the bin location for that product if there is one. If there is no bin location it will be blank. Note - only bin locations. marked as Public will be displayed on the label. Vendor- this will print the primary vendor for the product if there is one. If there is not one it will be blank. You can sample different vendor names to make sure the allotted width is enough. Item Costs Costs can be included on labels, and they will be encoded so it’s not obvious to your customers that it’s a cost. You can set up your Encoding Map in the Custom Labels setting page and going to Settings. We will default the encoding map to BLACKHORSE. but it can be changed to whatever you wish. The Prefix and Suffix are optional. These will be universal so every single cost that gets printed, even though each product’s cost can be unique, the prefix and suffix will be the same on every label. This helps you make the cost even more encoded because it won’t be a normal length but it’s easy for you and your sales reps to know where the cost actually begins and ends. When you configure the Cost field in your custom label, you can test out different cost amounts and see how they will translate onto your label. It will use whatever you’ve configured in the Encoding Map. You can also choose to show decimals or not for this value. Inventory Type Configure what you want to display for specific Inventory Types on the Custom Labels settings page and going to Settings and clicking on Inventory Type. You can make these whatever you want, or you can even choose to leave some blank. A common practice is to leave store inventory blank and only configure special codes to display for Vendor Consignment (Memo) and Consignment inventory. When you add inventory type to the custom label, you can switch your view between the different inventory types to see what it will look like when each inventory type is printed. This is just for display purposes, whatever inventory type ends up being your final selection is what will be printed on the label. You have three choices on how to work with your serialized item, here is how each option works:

If you choose this option, you are able to Delete a serial number from the system. This option is only offered for items that do not have a history is system areas such as Special Orders, Work Orders, and Rental Contracts, as pictured below.
We have added the ability to change the Status of an item from Reserved to In Stock, in case there are items that are somehow incorrectly reserved. Right now, we do not offer the ability to make other status changes in this way. To change such an item's status, click the Inventory Status radio button and if the item is legitimately tied to a system record, like the one pictured below, you will not be allowed to change the status. If the system finds no records to which the item is connected, you'll be able to proceed with the change.
For serial numbers that are Sold, Pending, or Out of Stock, you have options that allow you assign a different number. This also allows you to add Cost and Freight Cost data for the item to make sure your profit margins are being reported accurately (see image below).
If you know the serial number you need is already in the system, use the third option in the list. First, you will want to click to Search for the appropriate serial number (see below).
After you click Search, you will see a list of serial numbers that are in the system. You also have a search box where you can put all or part of the number you want. Once you find the number you want in the list, click on it.
After you click on the number you want, the system will outline for you exactly what it is going to do with the serial number. To make the listed changes, click OK.

Receive Date - Adding an accurate Receive Date will allow reports like Inventory Age to help you keep your older inventory moving. Vendor Consignment - If you use the Vendor Consignment feature, you can check the box to indicate that the new item is a Vendor Consignment item and the system will track that for you. You can activate this feature by going to Settings > Features > Vendor Consignment. After you have all your information for the new item in place, click the Add button. Transaction ID - You can find a specific Transaction ID, either from a report such as the End of Day, from the customer history, or from a receipt. Entering the transaction ID will bring up all serialized items in the sale. The line-items have several useful features: Edit Item - Clicking the item's Title in the left column or clicking the Pencil Button on the far right will open the Manage Serial Number panel, with full details below in the Working with Serial Numbers section. View History - you can click on the History icon on the far right of each line item to see details about inventory events for the item, as pictured below. If you are working with a product that will have variants of different sizes, colors, and/or styles, it is critically important to set the product to have Variants before you save it for the first time. You can do this by switching on the Variant toggle in the upper right, as pictured below.
For your core product details for variants including identifier codes such as SKUs, pricing, and images, you will work on the Product Information tab.
Please Note: You MUST set the Variant toggle before saving the product for the first time or the option will no longer be available for that product. We have set it up this way because when we allowed it to be changed after saving previously, it was making bad data and causing problems.
For each of your variants you are able to enter core information such as identifier codes, weight, dimensions, condition, and finish / color, as indicated below:
Location - If you have multiple store locations, they will be listed here, and you can add the data detailed below and have it apply to just the current specified location or to all of them.
Search - If you're working with a lot of variants / combinations, you can search them here by entering keywords and clicking the search button.
Variants - For each variant group in the product, you'll have a tab in this area. You can either work within the group, which will change the view to group all variant options under that group as pictured below, or work with All at once and see a master list of all variants.
Print Label - If you click this button at the top, it will load a label line item for every variant in the product, as pictured below. If you are viewing a specific variant, it will also have this button, and it will load only that variant for print. All line items will default to print one label, but you can set whatever quantities you need.
View Options - This function controls what optional data you want to see. Options include Show Items with 0 Inventory, which is on by default, and Show Deactivated Items. Set these the way you want, and then click Done.
Open / Close Variant Option - Clicking this arrow will expand the variant option so you can enter data for it. When this is open, you are able to add a Variant image on the right. If all variant options are closed, that area does not display and you can only have one open at a time.
Product Identifier Codes - These include UPC, Manufacturer Number, and SKU. If you have created the product from the Catalog and if that catalog works with variant data, the available identifier codes will already appear here. Even without the catalog, the system will populate a unique SKU for each variant you create, and you can either use the pre-generated SKUs or you can change it to whatever is needed. Any time you click on one of these codes, if you have multiple locations, you will have the option to Apply to All Store Locations.
Alternate Barcode Title - By default, when you print a barcode label, the title for the barcode itself will be the Product Title Plus Variant Name, but if you want to display something different on the label for the product you can enter an Alternate Barcode Title here and the system will use that when printing the label for the variant.
Alternate Lookups - If you have alternative names for a variant that you use internally, you can enter those terms here and when searching for the items anywhere in the system, e.g. Register, Products page, etc., the item will come up in searches using those terms.
Product Weight & Dimensions - You can enter weight and dimension values for your variant in this area. These will use your store default measurement system, which will either decimal values of pounds or kilograms for Weight, inches or centimeters for Height, Width, and Length. The values you enter here for weight will work with system weight-based shipping methods. The values you enter for weight and dimensions will work for our integrations with Shipstation, Reverb, and Shopify.
Condition - If you have non-serialized Conditions enabled (under Settings > Website Settings > Products) you can select the Condition of the variant here. Conditions include Brand New, Like New, Mint, Excellent, Very Good, Good, Used, Fair, Poor, Non-Functioning, and Floor Model.
Finish / Color - If the item has a special Finish, e.g. glossy or matte, or a particular Color, you can enter a brief description here of those features.
Variant Media - Whenever you have expanded the detail area of a variant, the Variant Media area will be visible. You can upload an image file here to represent the variant. Only one image per variant is allowed. Recommended formats are JPG, PNG, and WebP. Images that are 2k pixels wide are recommended, with a file size less than 4mb. If you want an animated image, you can use a GIF file as long as it's less than 4mb. Please see the post about Images for further details on best practices for the images you upload.
Please note that for all values entered in this area, you have the option of applying each to all Store Locations, all Variants, or All Variants and Locations, which can save you a lot of data entry time.

Variant Toggle - Be sure to turn this on before you save the product for the first time. If you forget, you cannot change it later and will have to delete and recreate the product. Variant Group Name - This will be major divisions of your variants such as Size, Color, Style, etc. You can have multiple variant groups if needed, but it's recommended not to create more than three. Variant Options - You can add as many variants as needed, and in this version of the Product page there is no need for side-scrolling, so you'll be able to see all variant options you create in a stack, as pictured below. You can drag and drop your variant options into whatever order you need them to appear. Save Variant - The Save button doesn't save the whole product, but does save whatever variant group you have created. It is necessary to save it in this way in order for the Variant Image area to show up. It is also necessary to save here before saving the product at the bottom of the page. Variant Groupings - You can click to expand or collapse any variant group you have created. Only one can be open at a time. Add a Variant - This will add a new variant group to the product. Edit - Once you have saved a variant group, you can click this button to Edit anything about it. It can be renamed or removed if you don't need it. When editing a variant, you will also see any variant options you've created, and you can edit their names or delete them as needed. Sale Price - If the item is part of a Scheduled Sale, or if you want to enter a price discounted from the regular Price, you can do so here. MAP Price - If the maker of the product lists a Minimum Advertised Price you need to respect, entering that price here will help you make sure your pricing does not go below MAP if you run a sale or do a bulk price edit. Doing any bulk activity or trying to save a price lower than MAP Price here will pop up a warning letting you know so you can avoid violating price agreements with your manufacturers. PLEASE NOTE: This feature is available only in version 3.0 of the Product Page or later. Website Price - If you have pricing you use on your website that is different from in-store pricing, this optional field allows you to list your standard price for web sales for the variant. If you do not use this field, the regular Price field will be used for both in-store and website sales. Website Sale Price - Again, if you use pricing that is different on your website from in-store prices, this field will allow you to list a discounted sale price from your Website Price for online sales only. If you don't use this field, the regular Sale Price field will be used for both in-store and website sales. Reverb Price - If you use the Reverb integration, you can list the price the system will use on Reverb for the item here, and it can be different from any of the above prices. Shopify Price - Shopify doesn't need dedicated pricing fields. If you use the Shopify integration, it will use whatever active pricing you have set. So if you only list a Price and Sale Price, those will display on your Shopify site. If you use Website Price and Website Sale Price, whatever is active for the product will display on Shopify. Adding Variant Purchasing Information For each Vendor you have added to the product, you will be able to set the Purchasing information listed below: Vendor Name - Each Vendor you have listed for the product (which is set in the upper section of the Product Information tab) will be listed here, with the Primary Vendor at the top. If you need to change your Primary Vendor, you can do so a the top of the page. Vendor Part Number - If the vendor has a specific part number they use, you can save that here and it will appear in relevant areas of the system such as the Inventory and Low Inventory reports, and on your Purchase Orders and Receiving Orders for the item. Packaging Quantity - If the vendor always sends the item packaged a specific way, you can list the quantity in that packaging here. Packaging Unit Type - If the item's Unit Type is relevant, you can list it as being a number of Items, Inches, Feet, Yards, or Meters. Packaging Container Type - If the package container is a Case, Bolt, Box, Roll, or Pack, you can specify that here. Apply To - All specific vendor data for the variant can be applied to all Store Locations, Variants, or to all Variants and Locations to save you data entry time. Default Cost - This value will apply to the variant and will be used when doing a new Purchase Order for the item. Please note, this value is NOT used in reporting. The actual Cost you enter for each time you receive or add inventory to the variant will be listed on the Inventory tab for the item and the reporting will use that cost to determine your inventory value and profit margins. Reorder Point - If you want this product to be included in our automated reordering recommendations, you will want to set the Reorder Point value. When the product's inventory gets down to this value, it will appear on the Low Inventory report or in the Low Inventory view of the main Inventory report. It will also display in the Purchase Queue when doing a Purchase Order for any of the Vendors saved for the product. Desired Stock Level - Again, if you are wanting this product to be included in our automated reordering recommendations, you can set a Desired Stock Level. When adding the item to a Purchase Order or Receiving Order, the system will make sure the quantity being ordered will result in an inventory level that is at or above the number entered here. For example, If the product pictured above is down to 1 item in stock and it's added to a Purchase Order, the system will recommend ordering a case of 8 items, which will bring the stock level to 9. Adding Inventory to Your Variants On the Inventory tab for the product, each of your variants will have an area for entering inventory quantities and costs and for tracking inventory history events, as detailed below. Inventory Tab - To work with the variant quantities and cost, click on the product's Inventory tab. Location - You will work with specific inventory quantities and costs for a single location at a time if you have multiple locations saved in the system. You can easily switch between locations using these tabs at the top. Search Variants - Each variant you have saved for the product will be listed below and you can search and jump to the one you want from here. View Options - You have some view options for this area that allow you to Show Items with Zero Inventory and Show Deactivated Items. By default, you won't see deactivated variants and you will see items with zero inventory. Variant Inventory Expand / Collapse - Click here to expand or collapse the full Inventory info area for the variant. Only one variant can be open at once. Active Location - The location you are working with will be highlighted here, you can change to a different location using the tabs at the top. Add New Inventory Quantity - If you wish to manually add inventory quantity to the variant at the active location, enter the quantity here. For items that sell by the yard or meter, this can be entered as a decimal value for fractional yardage / meterage. Cost Per Item - When adding new inventory to the variant, enter your base cost for the item here. The cost should be entered for a full yard or meter for items sold that way. This amount is calculated and added for you whenever entering inventory via Receiving Order. Extra Cost Per Item - When adding new inventory to the variant, enter the cost of freight and/or other secondary costs per item in this area. It will be calculated into your profit margins and total cost for the item on the sales and inventory reports. This amount is calculated and added for you whenever entering inventory via Receiving Order. Receive Date - When adding new inventory to the variant, this area is populated automatically with today's date, but you can click to change it to whatever you need. Vendor Consignment - If you have the Vendor Consignment feature active and if the item is a vendor consignment item, you can check this box and it will properly register as a vendor consignment sale. Add New Inventory Button - Once you have entered the quantity and cost information for your new inventory, click the Add button to add it to the line item. Current Inventory - This table shows every 'batch' of inventory received / added for this variant in chronological order. The system will use the FIFO method of inventory management, First-In-First-Out, meaning it will always sell the oldest inventory first. Costs will be used from the specific 'batch' where inventory is sold for your reporting. Each line item lists the Remaining Quantity (current on-hand amount), Total Quantity (starting quantity; this number does not change), Cost and Extra Cost Per Item, the Receive Date for the inventory, and the Type (standard inventory is a - and the other types include Consignment, Vendor Consignment, and Memo). Edit Inventory - If any of your inventory numbers were entered incorrectly, you can click the Edit button to manually make changes. Inventory History - All events in the system that adjust inventory quantities will be listed here. This includes sales, merchandise returns, and manual adjustments. This information can also be found on your Inventory History report. Cost - This is the base item cost and is for the unit only, so it doesn't include secondary costs such as shipping. Cost Per Item - When adding new inventory to the item, enter your base cost for the item here. The cost should be entered for a full yard or meter for items sold that way. This amount is calculated and added for you whenever entering inventory via Receiving Order. Extra Cost Per Item - When adding new inventory to the item, enter the cost of freight and/or other secondary costs per item in this area. It will be calculated into your profit margins and total cost for the item on the sales and inventory reports. This amount is calculated and added for you whenever entering inventory via Receiving Order. Receive Date - When adding new inventory to the item, this area is populated automatically with today's date, but you can click to change it to whatever you need. Vendor Consignment - If you have the Vendor Consignment feature active and if the item is a vendor consignment item, you can check this box and it will properly register as a vendor consignment sale. Add New Inventory Button - Once you have entered the quantity and cost information for your new inventory, click the Add button to add it to the line item. Edit Inventory - If any of your inventory numbers were entered incorrectly, you can click the Edit button to manually make changes. Current Inventory - This table shows every 'batch' of inventory received / added for this item in chronological order. The system will use the FIFO method of inventory management, First-In-First-Out, meaning it will always sell the oldest inventory first. Costs will be used from the specific 'batch' where inventory is sold for your reporting. Each line item lists the Remaining Quantity (current on-hand amount), Total Quantity (starting quantity; this number does not change), Cost and Extra Cost Per Item, the Receive Date for the inventory, and the Type (standard inventory is a - and the other types include Consignment, Vendor Consignment, and Memo). Inventory History - All events in the system that adjust inventory quantities will be listed here. This includes sales, merchandise returns, and manual adjustments. You can get to this part of the system when you first log in by clicking the Register icon on the far left of the blue Admin Toolbar.
The first thing you have the option of doing is adding the customer to the transaction by either searching for the one you want, as shown below, and clicking on their name in the drop-list that comes up, or by clicking the New Customer button to the right and creating a new Customer entry for them in the system. Customers can check out anonymously, but if their name is in the Register, they will benefit from gaining Reward Points and coupons, and it will be easier for you to work with returns they might need to make.
Please Note: To look up Quotes, Account Balance, Layaways, Special Orders, Work Orders, Transaction History, and Items Purchased, the customer's name will need to be loaded into the Register.
If you click to create a New Customer, you'll see the Add Customer panel pictured below. If you click on a Customer's name that is already in the system, you'll see a much more detailed Edit Customer panel, with info about all of their activities. Customer Information - Enter general information about the customer such as Name, Phone numbers, Email, and Company. Please note that Email is a unique identifier and is the best way to look up customers, since they can have the same names and in rare cases, might have the same phone.
Driver License - There is a field you can store driver's license numbers for your customers, if needed. You can use the Image Upload button to upload a photo of a driver's license. Please Note: It is illegal to keep permanent records of anyone's ID without their consent, so please be sure you have that before saving anyone's ID with this function. It may be possible that your state has specific laws regarding this practice, so please check with your local chamber of commerce on the legality of this practice before using it.
Other Information - If you need to save other information about the customer, such as their Anniversary Date and Birthday(for both of these, the Year is optional), Language (there is a long list of major languages from which to choose), and Gender.
Till Alert - If there is special information the sales clerk needs to be aware of regarding the customer, you can add that here and whenever the customer is loaded into the Register, the Till Alert will pop up, see the example below.
Once you have the Customer loaded, you can see a lot of useful information about them in the upper bar, as pictured below.
You'll see 1) Contact Information (the small X button will remove the current Customer and let you search for another, clicking on the name will open the full details view), 2) Rewards program info and Customer Balance (credit balance in green numbers or balance owed in red), and 3) Customer Actions. In order as shown below, the Customer Actions are Quotes, Customer Notes (these will be visible when viewing the full customer details), Work Orders, Reward Coupons, Short-Term Rentals, Layaways, Special Orders, and Rental Contracts. Any of the icons highlighted have entries that are active in the system for the Customer. Clicking on any of the Customer Actions icons will open the Customer Actions panel, showing you all current activities for the customer. Please note, there are some newer elements in the Customer Actions panel that do not have an icon, such as the Waitlist, Invoices, Payment Plans, Consignment, and Trial Purchases.
Here is a breakdown of the various Customer Actions currently usable in the Register (see image below):
Waitlist - If the customer has any products or classes on their Waitlist, you can open the list and work with those items by clicking the Open Waitlist button. Click here for more info: Waitlists
Quotes - A Quote is a permanently saved transaction and is used to either print and give to a customer for a requested quote, or just to permanently save a set of items that have been loaded into the Register for later purchase. To create a Quote, load the item(s) needed into the Register along with the Customer, open the Customer Actions panel and click the + for Quotes. From then on, that Quote will be accessible here whenever the Customer is loaded into the Register. You can open a saved Quote by clicking the Load button, you can also Print it at any time, or Delete it as needed. Click here for more info: Create a Quote
Account Balance - If the Customer has a balance, it will display here; numbers like those pictured below are for a Balance Owed, and a negative number represents a Credit Balance. Clicking on the balance will add it to the Register as a line item, either to be paid or as a credit to whatever is being purchased. NOTE: If the Customer has a credit balance larger than the transaction total, we highly recommend NOT adding the credit to the Register in this way. Instead, use On Account as a payment method, which will allow you to use only the part of the credit balance needed. If it is loaded as a line item and exceeds the transaction total, you will owe the customer change.
Reward Coupons (Not Pictured) - If the Customer has any Reward Coupons that are available for use, they will appear here. You can click on the coupon to add it to the Register, and it will appear as a Discount. Clicking the Discount button in the Register will show you details about the applied Reward Coupon. You also have the option to Apply All if you allow coupons to be stacked(in your Coupon & Discount settings under Settings > POS Settings > General).
Invoices - If the customer has any open Invoices, they will appear here. You can click on the invoice to open its full detail view. Layaways - Any active Layaways for the Customer will be listed. You can start a new one by clicking the + Button. The Customer can make a payment if you click the Pay button, and that payment will go into the register as a line item with any late fees accrued, or the customer can pay off the entire Layaway if you click the Pick Up button. Special Orders - If a Customer wants you to order them an item from one of your Vendors, you can click the + to create a Special Order. Please note that if you are not using our Purchase Order system, you will NOT want to use Special Orders, since each must be associated with a Purchase Order and then received in order to be picked up from the Register. You can view any active Special Order for the Customer by clicking on the Order Number, and once it has been received, you can click the Pick Up button to add the item to the Register. Work Orders - If the customers have any Work Orders that are in process or ready to be picked up, they will appear in this area. You can click on the Work Order listing to add it to the Register. Click here to learn more about Work Orders.
Rental Contracts - Any active Rent to Own / Rent to Rent contracts the customer may have will be listed here. You can click on the Contract Number to open the full details of the contract in a panel, or you can click the Pay button if the customer wants to make their payment in the Register. Short Term Rentals (Not Pictured) - If the Customer has any Short-Term Rentals that are currently Out or Overdue, they will be listed here. Rentals that are Out will display that in green, and Overdue Rentals will display in red, either can be adjusted by clicking the Edit button to alter the terms of the Rental. You can click the Return button to complete payment on the Rental. The Rental will be loaded into the Register as a line item and can be paid for in the normal way. Consignment - If the customer has brought you inventory to sell on consignment in your store, open Consignment Contracts will display here, and you can click the contract number to view full details. Trial Purchases - If this function is active in your store you can either click the +Button to start a new Trial Purchase, or you can click the Trial Purchase Number of any items in the list to view full details. Click here for more info: Trial Purchases
Transactions - A list of the customer's Transactions is in this area, with the most recent at the top. You can click on any of them to view the transaction details.
Search - The Search module for the Customer Actions is robust, and allows you to search for specific transaction or items, just enter a Transaction ID (or scan a receipt barcode) or enter keywords for products or scan a product barcode label. The list will filter down to display only the items that match the search.

Your Classes Report is your reference point to see who is registered for any of your class sessions. By default, the report will show a 90-day period, but you can adjust the Date Range if you like. You can click on a class Title to view the registered students, and you can Print your results.
Once you have clicked on a Class Title, you can see details on all registrants, including the Transaction ID for when the class was paid for, the Customer's contact info, and the number of Seats purchased. Please note that whenever a Customer purchases multiple seats in a class, we advise clicking Notes in the Register to add a Transaction Note and include the name(s) of additional students for the class. You will be able to see those notes here, as well as on the receipt, or any time you open that transaction. For classes that were registered online, if you have the Attendee Names options active (Settings > Website Settings > Classes) the name of each attendee will be listed here. If the customer paid for Materials, that will be indicated here as well.
You can click to Print the Class Report so you'll have a hard copy of the registered students, and you can also click to Email Attendees or Text Attendees if you need to send a reminder or a supply list, or if scheduling has changed, etc. Please note that the Text Attendees function will only display if you have the Marketing Package.
This report can look at whatever date range and contract status you might need, and gives you a financial summary of how your consignments are performing for your sales. You can Export the data to a CSV (universal spreadsheet file) as needed. This report is found under the main Reports menu as long as Consignment functionality has been activated.
If you need to see every Gift Card in your system that has a remaining balance, use your Gift Cards Outstanding Report. You can Sort the results by clicking on the column headers, and see the Original Amount and Current Amount on each card. You can Print or Export the results, if needed.
Note that if you need to adjust any Gift Card information, you will need to go to Inventory > Gift Cards, the information provided in this report is for reference only.
You can see all Gift Cards your customers bought in a given period by using the Gift Cards Purchased Report. You can choose whatever Date or Date Range you might need, and the results provide the Gift Card Code (you can copy and paste for use in the Register, if they've lost their card) as well as the Beginning Balance and Current Balance on the card. This report will show all cards purchased, including those that have been completely used up and have $0 balances. You can Print and Export the results, as needed.
Note that if you need to adjust any Gift Card information, you will need to go to Inventory > Gift Cards, the information provided in this report is for reference only.

The Rental Contracts Report will itemize all active Rental Contracts with the newest at the top of the list. You are able to see the ID number of the contract, the Customer name, the date the contract Started, its Status, the duration of Time Out in days the contract has been active, the Total Collected, Next Due Date and Next Due Amount, and any Overdue Amount that might exist. You can also see the Serial Number(s) in the rental and the School and School District if it's a student rental. You can click on the column headers to sort in descending/alphabetical order and click again to reverse. If needed, you can Export the report data to a CSV spreadsheet file.

Classes Your Classes Report is your reference point to see who is registered for any of your class sessions. By default, the report will show a 90-day period, but you can adjust the Date Range if you like. You can click on a class Title to view the registered students, and you can Print your results. Once you have clicked on a Class Title, you can see details on all registrants, including the Transaction ID for when the class was paid for, the Customer's contact info, and the number of Seats purchased. Please note that whenever a Customer purchases multiple seats in a class, we advise clicking Notes in the Register to add a Transaction Note and include the name(s) of additional students for the class. You will be able to see those notes here, as well as on the receipt, or any time you open that transaction. For classes that were registered online, if you have the Attendee Names options active (Settings > Website Settings > Classes) the name of each attendee will be listed here. If the customer paid for Materials, that will be indicated here as well.
