The Music Shop 360 Rental Contract system sends up to four different emails out to contract-holders. Three of these can be controlled by the toggles in the Settings > POS Settings > Rental Contracts area. The first one listed below is the one that cannot be controlled by a toggle, it is just the automated receipt for each successful payment. Here are the different types of emails with examples:

You can begin setting up a Rental Contract by clicking on the Register button on the far left, or you can click the +Create New button at the top of the system.

You are now ready to configure your initial contract for this rental. When you click the + button, the Add Rental Contract panel will open. Here are the steps you need to take (please note that you may want to start by adding your item(s) for Rent to Own in #8, below; those items can be any product saved in the system, so make sure the item(s) in your new contract are saved):
In addition to the payment breakdown displayed in the Payment Schedule, you can also click on Next Payment Amount to see a breakdown of the components of just the monthly payment, like this (Estimated Tax not shown in this example):
If the Primary Card should fail, the Secondary is charged, and no extra fees are charged to the customer. If you plan to allow the customer to mail in checks or make payments in person or by phone, you can set this to OFF.
Print - If you wish to print out the dynamic contract you configure in the Rent to Own Settings area for signature, all fields you entered in that form contract will be auto-filled with the terms you have entered in this panel. You can have the customer initial and sign, then you can either scan the document or photograph it and then it can be uploaded to the Rain system cloud for secure storage. You can also click the button to Collect Signature to load one of your pre-saved contract templates. Please note, this will require an integrated processing terminal that allows on-screen signatures. If you do not do integrated processing with Rain Payments, you will need to use the Upload Signed function.
Once you have completed all steps, click the Save button to finalize the contract. PLEASE NOTE: Most of the fields that are editable in this contract creation panel will be set in stone after this save, so make sure all of your information is correct before you save the contract! If you have incorrect information in any of the areas noted above that are not editable after the save, you will need to delete this contract and recreate it with the correct information. To delete it, go to Modules > Rental Contracts > click on the contract ID Number, find the Delete button near the bottom of the panel and click it, and then re-create the contract with the correct information using the steps detailed above.

It may seem logical to include taxes in the total listed in your contracts, but this may not be the best approach.
Consider the following scenario: A shop owner creates rental contracts with a school for 100 band instruments for a term of 36 months. Included in the contract were the taxes, which at the time of signing were 6.5% for the area. A year into the contract, the state legislature increases the state tax to 8.5%.
The owner is now liable to pay the additional tax amount for all items, and any similar contracts, entirely out-of-pocket throughout the rest of the terms. If the owner attempts to increase the monthly payments, he or she will be in breach of contract.
With this scenario in mind, you may wish to adjust your contracts to list pre-tax totals for payment amounts. In this way, the fluctuations of your tax rates will not affect your contracts in any way.
If an initial or down payment is being made, you will be taken back to the Register where the Customer and a line item for the first Rental Contract payment will be loaded.
Please Note: that since you do all applicable Discounts when creating the Rental Contract, you do NOT have the option of discounting the individual payments in the Register. Global Transaction Discounts (with the % button on the right in the Discount line) and Customer Discounts will not override this. You CAN, however, manually change the Amount field, if needed. The Tax is already figured into the base amount for the Payment, so you will not see tax applied to this transaction.

Find the section for Rental Contracts in your Customer Actions panel and click the + button to start your new contract. Please note that from this area, you can also click the Pay button on an existing Rental Contract listed for the customer. You are now ready to configure your initial contract for this rental. When you click the + button, the Add Rental Contract panel will open. Here are the steps you need to take (please note that you may want to start by adding your item(s) for Rent to Own in #8, below; those items can be any product saved in the system, so make sure the item(s) in your new contract are saved): Rental Information - Key details about the Customer as well as the name of the Store Location where the Rent Contract is being created will be listed here. Clicking on the links to the highlighted items here (in this example, Customer Name and Phone) will open the Customer detail panel so you can access their full info. Please note that you will also be able to access this panel whenever you click to open an active Rent to Own, either from the Register or from Modules > Rental Contracts. Contract Details- You can set the Contract Type to be Rent to Own or Rent Only (rent to rent). For the Payment Frequency, you can set it to be Monthly, Quarterly, or Yearly. In the Term area, you can set the total Number of Months, Years, or Weeks. You can also set your Interest Rate here. Please Note: These fields, once the contract is initially saved, will also become un-editable, so make sure you get the info in the way you will want it from the start. Read the note above on how to delete the contract if you saved the info the wrong way. Total Financed - This section details the total amount the customer is financing, the tax, and gives you fields to enter any Rental Credit that may apply or Down Payment that will reduce the total. Please note that these fields are only visible during this initial creation of the contract. Once you save it, either of these fields that have values entered in them will be visible to show those respective values, and any that had nothing entered will not display, and neither can be edited after that initial save. Item Search & Line Items - You can Search for and add the item or multiple items for the Rental Contract here. You can rent as many items as you like in a single contract. This area will display the Line Item(s) being rented in the same manner as the Register, including a thumbnail image. You can manually set the Price, if needed, the Quantity, and by clicking the Price Tag icon in the Discount column, you can set a Line-Item Discount by percentage off or dollar-amount off, as needed. Payment Details - This section displays the base amount for the Monthly Rental Payment, with the interest rate already combined, if any. It will also populate your Monthly Maintenance and Monthly Insurance fee amounts. All three of those fields can be edited, if you need. Please Note: After you create this initial contract and save it, you will not be able to edit these fields any longer, so make sure they are set correctly. If you save a contract with incorrect numbers, you will need to delete it (go to Modules > Rental Contracts > click on the contract ID Number, find the Delete button near the bottom of the panel and click it), and then re-create the contract with the correct information. Payments - This area shows how many payments are scheduled and how much each payment needs to be. If you click on Scheduled Payments you'll see a schedule like this one: In addition to the payment breakdown displayed in the Payment Schedule, you can also click on Next Payment Amount to see a breakdown of the components of just the monthly payment, like this (Estimated Tax not shown in this example): Auto Pay - If you want the system to automatically bill the customer each period, set this to ON. Bulk - You can manage your products and inventory by spreadsheet in the Bulk area. Departments- You can add or edit the Departments you use for organizing and reporting on your products. Gift Cards - You can work with your Gift Cards (usable both online and in the Register), create any you might need for store use, and view a log of Gift Card events, if needed. Packages- The Packages module will give you the ability to offer different combinations of products as package deals at a single combo price. Precuts- You can use the Precuts module to break a product up into multiple products (e.g. you can create 4 quarter-yard Fat Quarters from a yard of fabric). Products- In the Products area, you can create a New Product, access a searchable and filterable list of your Products, and do on-screen bulk edits, exports and imports to spreadsheets and purchase orders, label prints, and deletions, if needed. Serialized- The Serialized inventory tool will let you adjust or add serial numbers to serialized inventory you sell. Services- You can work with your Services you use in Work Orders, adding new ones and configuring them as needed. Stones- This module allows you to work with your stock of Stones by cut, weight, type, etc. if you work with and sell precious stones. Transfers- If you have multiple locations, you can do Transfers of inventory as needed between locations. Modules The Modules menu on the left will give you access to some important parts of the system: Appraisals- Your Appraisals are available from here, and you can create new ones as needed. Classes- You can access your Classes from here, and you can create and schedule them as needed. Consignment- If you do Consignment selling, you can access your contracts and work with payouts here. Form Styles - If you need to print documents at letter size, the Form Styles module allows you to configure unique receipts, invoices, work orders, etc. for each of your Locations. Gift Registry - If you have Gift Registry active on your website, you are able to work with those lists here. Invoices- For your Invoices, you can view the list and work with any of them in this area. Layaway- The Layaways module lists your open Layaway agreements and you can open and work with them from there. Live Selling - The Live Selling feature allows you to use social media in live events that can be a successful way to sell items. Loaner- If you do Work Orders, you may want to keep track of any Loaner items you have out, and this module allows you to do so. Online School Rentals - You can manage and work with your school rental contracts in the Online School Rentals module. Payment Plans - If you offer Payment Plans for store-financed purchases, you can track and work with those agreements here. Quotes- You can see the active list of saved Quotes in the system by clicking that link, and those are all saved directly in the Register. Rental Contracts - You can see and work with open Rental Contracts if that part of the system is active for you. Restricted Items - If you need to limit access to some of your inventory, you can configure that in the Restricted Items module. Short Term Rentals - Your Short Term Rental functions are also here for you, allowing you to look up the Rental Status of any active Rental, view your Rental Calendar, and configure the system how you need it to work in the Rental Admin area. Special Orders - The Special Orders page shows a list of all active Special Orders you've created from the Register, allowing you to open and work with them as needed. Subscriptions- If you wish to do periodical Subscription sales, you can set that up in this area. Trial Purchases - For some items, customers will want to do Trial Purchases to make sure the item will work for their preferences. Work Orders - In the Work Orders module you can track and bill for any labor-based work, such as repairs. Purchasing The Purchasing section lets you work with all of your inventory ordering activities: Customer Purchase Orders - If your store is a 'vendor' for organizations that purchase over time throughout a fiscal period from a budget, the Customer Purchase Orders module will allow you to facilitate those purchases, for products and for work orders, and invoice the client as needed. Purchase Orders - You can access and work with your inventory orders from your vendors in the Purchase Orders module, creating new orders as needed. Receiving Orders - You can use the Receiving Orders module to work with your list of orders, and you can create new ones out of PO's made in this system or from scratch if you've already sent in an order. Vendor Consignment - If you do consignment selling with any of your vendors, you are able to track that and manage it through the Vendor Consignment module. Vendor Return - When inventory arrives in an unsellable condition, or for whatever reason might come up, you are able to use the Vendor Return module to handle that inventory reduction in the system. Vendors- Important contact information and a history of your vendor orders are available to you in your main Vendors list page. You can also start new inventory orders for a vendor when viewing their card from this list. Filter Customers - If you like the idea of building marketing email lists based on the shopping history of your customers, this module allows you to do so and create as many filtered lists as you might need. Tailored Product Lists - If you're working on a consultative sale that might take a few visits to close, the Tailored Lists area can allow you to save lists of such items for individual customers so you can track how it's going. Here are your options: Calendar- Our website Calendar allows you to schedule and display information on one-time or recurring events, and can be customized for specific areas, such as your individual locations or by topic, such as a calendar listing only your classes. Files- Our Files tool allows you to manage any files needed in the system, including documents such as PDF file, general files such as audio or video or executable files you might want to sell through your website, or the different images you use throughout the system. Forms- You are able to create and publish website Forms in this module, and you can view responses and form submissions in bulk from here. Navigation- You can create as many website Navigation menu links to pages and resources as you need and organize them into drop-lists under your header items in the main menu. News- Let the world know about what's going on with your organization using the News module to post updates to your website as often as you like. Pages- Create individual website Pages and manage their publication here. If you have a lot of pages, you can organize them in folders to make them easier to find and edit. Store Locator - This tool is great for multi-location stores, allowing you to enter the locations of each of your stores and displaying them automatically on an interactive map you can display on your website. Website Editor - Enter the Website Editor view of the system to update your website content and access all of the tools in this list, and more. Request Review* - You can use the Request Review tool to send a review request by email or text to a satisfied customer. Scheduled Sale - This useful tool allows you to plan pricing changes for your sales events and set prices to change on specific days and times you need. Alternatively, you can load the Customer into the Register, then click on any of the icons above the Date and Time in the upper right to open the Customer Actions panel, then you will see the customer's active Rental Contracts in the left column. The main list page looks like this: Click on the contract ID number if you wish to view the full contract. A panel will open showing you the full details. Items in this list will not have many areas you can edit, as seen below: From this window, there are several functions you'll need to know how to use: Exchange - There are three ways to Exchange an existing rental contract; you can Exchange to A New Rental Contract, which will close the existing contract and allow you to add more items and adjust terms in a new contract. You can do a New Contract, Keep Pricing, to have the old one close out and the new one open with the same pricing as the old one. Or you can Exchange to Credit A New Sale. Please note that the contract must be Active to have the option to Exchange. Return - If the customer backs out, you can click to Return the rental item. When you do so, just for your safety, the system will pop up a confirmation prompt asking you if you really wish to return it and close the contract. It is your option whether or not to return a pro-rated portion of the current period's rental payment or if that payment is non-refundable. This operation will close out the contract and you can print a receipt for the customer that the contract is ended. When you do this, if the contract has an active owed balance on it, you'll have the option of letting the customer pay it right now, or you can put it in Collections status. In Collections status, the item returns to In Stock and the contract will continue billing activities to collect the owed balance. Upload Signed (Contract) - If you wish to use pre-printed contracts, or if you use the Print button below, after you have completed the signatures, you can scan or photograph them, then click this button to upload them to Music Shop 360 cloud for secure storage. Print - If you wish to print out the dynamic contract you configured in the Rental Contract Settings area for signature, all fields you entered in that form contract will be auto-filled with the terms you have entered in this panel. You can have the customer initial and sign, then you can either scan the document or photograph it and then it can be uploaded to Music Shop 360 cloud for secure storage. Delete - If you wish to start over or if you just need to remove the Rental Contract from the system, the Delete button will remove it for you. When you click it, a warning will pop up asking you to confirm that you really want to delete the contract. Save - If you changed something, for example, the Auto Pay can be toggle OFF or ON, or the Primary or Secondary Card could have been changed, you can click Save to finalize those changes to the contract. Make Payment - This button will load a line item in the Register along with the Customer for whatever payment is next due / past due on the contract. You can also use the Pay button directly from the Rental Contracts module ( Modules > Rental Contracts), or if you load the Customer into the Register, you can click on the Customer Actions icons and click the Pay button in the Rental Contracts section for the contract they wish to make a payment toward. Purchase - Clicking the Purchase button will close the Rental Contract and load the remaining past due, principal, and any appropriate fees into the Register, where the customer can purchase the item. Please note that if the customer changes their mind after you have done this, the contract remains open until paid out completely, so it will remain in your Active list in the Rental Contracts module. This option is available in Rent to Own and Rent to Rent contracts. Accessing Rental Contracts from the Register If you already have the Customer loaded into the Register, the fastest way to access their Rental Contract will be through the Customer Actions icon in the upper right. Here is what to do: In the Register, load the Customer. On the far right side of the Register, click on any of the Customer Action icons. If the Customer already has a Rent Contract saved in the system, you will see the handshake icon highlighted in gold. Find the section for Rental Contracts in your Customer Actions panel and click the Rental Contract ID Number to open the contract. Please note that from this area, you can also click the Pay button on any existing contract listed for the customer. Products will not be able to display in the Online Rentals module unless you have Item Conditions enabled. To enable your item conditions, in the upper right click on the Admin Button > Settings. In the settings window, click POS Settings > Products. Once you have toggled Item Condition to ON, you will see a list of conditions like those displayed below. Check the boxes for all conditions you will possibly be using for your products. Once you are finished, scroll to the bottom of the page and click Save. You also have the option of having conditions active but not using condition pricing online, which is useful if you only sell new items online.
The final requirement is setting your pricing for the item rental at your different condition levels. You will also need to set purchase price whether it is something you would also sell outright or not. Only the condition levels you have selected in the settings will display in your list. To set your pricing, in the Product Information tab, scroll down to the Conditional Pricing area and on the right click the Pricing Details button and change it to Rental Pricing Details. You'll be able to enter your different Payment Amount and Purchase Price as well as your preference on the Minimum Payments new contracts should have for the condition levels. If you have multiple store locations the option to Apply to All Store Locations will pop up for all items you enter here.
You are likely already using these fields for your items, but if not, it is highly recommended (although not absolutely required) that you do so. To enter Make, Model, and Year for an item go to the Product Information tab and you'll see the fields below where you set the Vendor. Enter the information, then at the bottom click Save, if you don't have further edits to make. For each product, the options they see on the web page will correspond to the Rental Profile set for that product, so in the example below, we see options for both the Maintenance Fee and the Protection Fee. At any time, they can click on the Terms and Conditions link to read that statement, but they cannot proceed with the rental until they have agreed to it. As you can see, important terms are listed for them just above the Add to Cart button.
From that point forward, they check out in the normal way through the website shopping cart. The contract will automatically appear in your Rental Contracts list under the POS menu in the blue Admin Toolbar, and you can manage it in as you do your other contracts from there.
While an online Rental Contract is still Pending, you are able to open it in Modules > Rental Contracts and change the serial number of the item, if needed. Once it is Active, however, the item will be set in the contract.

For recurring automated billing to work with your Rental Contracts, you will need to have recurring processing tokenization. If you use MusicShop360 Payments, this is already in place for you. If you use a third-party processor, you will not be able to set up automated billing within the Rental Contracts module.

This contract system allows for live fields that auto-fill important information for you (see examples below of the items in brackets). When creating a template or editing one, you are able to use HTML and CSS if you like and give each template a unique title. You can make as many templates as you might need. Require Contract Information - This function allows you to set which fields are required in order to save the entry for RTO Contracts, RTR Contracts, Finance Contracts, and the data fields on the first tab of the Edit Customer profile area. If you look at the example below, you just click on whatever fields you want to make required and they turn red. Please note that on the Customer tab, you can also make any Custom Data Fields for Customers you may have created required. Prorate First Payment - If this is turned on, the initial monthly payment required on a contract will be partial based on how many calendar days are left in the month before the next billing date. Allow Discounts on All Rental Contracts - With this setting On, you will be able to discount any Rental Contract regardless of how the product(s) in the rental are set for discounts. Online Rental Terms and Conditions - You are able to add separate Terms and Conditions statements and set them to be the defaults for standard Rental Contracts sold online and Online School Rentals statements. When creating a new Terms and Conditions statement, you can give it a Title and you can use the content editor pictured below to post important information about how you handle your contracts. Default Contract Settings Default Maintenance Fee - This fee can be for maintaining the contract, and can represent whatever monthly work you and your team do to maintain the rent to own contract, including periodic service on the item(s). You can click the drop-list for a tax rate you have set up in your system, if taxes apply to your fees. Default Protection Fee- You can break up the protection service on the item into monthly payments with this field. It is recommended to itemize this expense in this way, to allow the system to track the expense and also to show the customer the breakdown of what they are paying for. As with fees, you can also click the drop-list for a tax rate you have set up in your system, if taxes apply to your protection service. Default Late Fee - A late fee is a good way to make sure your renters take their payments seriously, just make sure they understand up front how your fees work and when they will be applied. You are able to apply the appropriate Tax to your late fees, if needed. Default Payment Grace Period (days) - This is the number of days you allow past the due date of each payment before the payment is considered to be late. Default Contract Type - Using this drop-list, you can set the default type to be either Rent to Own or Rent Only for new contracts you create. Within the new contract, it can always be changed before finalizing the contract. Contract Exchange Profiles, Online Settings, and Autobill Settings Contract Exchange Profile- This function allows you to set defaults for how you handle exchanges within Departments of different types of items. You're able to add any number of Departments to a profile, as pictured below. Click the +New Exchange Profile button to make a new profile. There are two modes for the profile to function: You can set a flat percentage of the principal that will transfer in the exchange by setting Entire Contract as the Transfer Type from the drop-list. Or, if you like, you can use Set Number of Payments as the Transfer Type, which would allow you to set a time frame for how long the exchange item has been with the customer for which you would allow principal to be transferred. For example: If you don't want to allow items that have been out for longer than a year to transfer anything but the first twelve months of the rental's principal (because after that the item might be in bad condition), you can set the number of payments to 12. Those 12 months will transfer over to the new item, but subsequent months the renter might have paid will not. With the Entire Contract option, no time frame is given, and the Transfer Amount would be fixed at whatever percentage of the principal you want. Edit Exchange Profile - You can click the Pencil icon or the profile title to edit the terms. Require Maintenance / Protection - Enabling this setting will require whichever of the Maintenance or Protection fees you have set up as a default whenever a customer signs up for Online Rentals. Credit Card Autobilling - Turn this ON if you wish the system to auto-bill a card after a payment fails. Configure Autobilling - You can set the duration in days the system will wait after a failed payment to retry the charge with the Days After Due Date to Start Retrying setting. Please note that successive charges that fail will NOT trigger a late fee again; each main payment date that is missed will charge a late fee, so this setting will just retry the charge for you to see if it will go through. Setting this to be a shorter duration than the number of days of grace you offer on late fees can be a very good thing. Next, you will set the period in days that will pass in-between retry attempts with the Reattempt Every This Many Days setting. And lastly, you can set the number of Maximum Retry Attempts the system will make before it stops trying. Notices Autopay Notices - If you wish for the system to send email notifications about Autopay to your customers, you can set this toggle to ON. Autopay reminders are sent out 5 days prior to the day the payment is scheduled. Late Fee Notices - If you wish for the system to send email notifications of Late Fees to your customers, you can set this toggle to ON. Late Fee reminders are emailed as soon as the fee is incurred. Payment Due Soon Reminder - Enabling this setting will email customers about upcoming payments with a link that will allow them to pay online. Schools School Districts - If you do rental service to school districts, you can set up your different districts in this area, with all schools listed within each district. Edit Schools / Districts- You can click the District name or the Pencil icon on the right to edit saved Districts and Schools. You can click the Arrow next to the District name to expand and view all saved Schools in the district. Create District / Schools - To create a new district, click the +New District button and enter the name for the school district. You can then enter individual school names you provide rentals for, and there is no limit to how many you can enter. Once you're finished, click to Save the entry. After you've saved the School District info, whenever you create a new Rental Contract, you will have the option of adding a Teacher, School District, and School for reference to the contract. Rental Contract Profiles Rental Contract Profiles - For groups of items that will use the same terms on your Rental Contracts, you can save Rental Contract Profiles and assign them to individual products. Each line item contains the Profile Name, the number of regular system Products Using This Profile, and the number of OSR Products Using This Profile (these would be the 'virtual' products for Online School Rentals). You can click the numbers for either column to see a list of all products set with the profile. Edit Profiles - Click the Profile Name or the Pencil icon to open and edit any of your saved profiles. Create New Contract Profile - Using the +New Profile button, you can create preset profiles for common terms you use in RTO/RTR contracts in different situations. Here are the items you can set for any Profiles you create (please note you have drop-lists for your available tax rates if you need them for Monthly Maintenance and Monthly Protection items): Depreciation Depreciation Schedule - You can track your Depreciation cost changes based on the different kinds of Rental Contracts you do. For schedules you've saved, you can click the Name or the Edit button to adjust text or terms. Delete Schedule - If you will no longer need a Depreciation Schedule, you can click the trash can icon to delete it. Please note that any items using that schedule will no longer have a Depreciation Schedule assigned. Create Schedule - You can create as many schedules as you might need. If you typically do RTO contracts for student instruments for a school year, you could enter the Depreciation Name of the contract type, the number of Months to Depreciate. You will also set the Minimum Net Value of the item as a percentage of it's new Cost value, and this sets the total Cost of the item below which it cannot depreciate. For example, if you have a $500 new trumpet and it will always be worth at least $50 no matter how old it gets, set the Minimum Net Value at 10%, and the depreciation schedule the system creates will not allow the item to depreciate below that. Another way you can use this is if you have shorter contracts, you can set the Minimum Net Value to what you know the item's value will be, as a percentage of its original new value, once the contract is complete. Once you have made your configuration preferences, click the Save button at the bottom to set them in the system. You can begin setting up a Rental Contract by clicking on the Register Button or you can use the +Create New button. You can configure your Rental Contract settings by clicking the Admin Button with your username in the upper right and going to Settings > POS Settings > Rental Contracts. You are now ready to configure your initial contract for this Rental Contract. When you click the + button, the Add Rental Contract panel will open.
From anywhere in the system, you can click the +Create New button and start a new Rental Contract.
You'll be asked to load or create the Customer for the new contract. You can search for customers already in the system. You can c lick the customer's name to view full details (the link will open in a new browser tab so you don't lose your place) or if you have the right one, just click anywhere in the customer's info bar to select them. If you have multiple Locations saved in the system, you can also choose the Location at which the rental contract will be fulfilled and serviced. Once you have everything set, click Next at the bottom.
Please note that if you start the contract from the Register, you'll remain in the Register for the steps below. If you create the contract using the +Create New button, you'll be taken to the Rental Contracts list page where you'll configure the contract, then once you're ready to save it, you'll go to the Register to take the initial payment.
Here are the areas of a new Rental Contract you can configure:
Rental Information - Key details about the Customer as well as the name of the Store Location where the Rent to Own contract is being created will be listed here. Clicking on the links to the highlighted items here (in this example, Customer Name and Phone) will open the Customer detail panel so you can access their full info. Please note that you will also be able to access this panel whenever you click to open an active Rental Contract, either from the Register or from Modules > Rental Contracts.

Contract Details- You can set the Contract Type to be Rent to Own or Rent Only (rent to rent). For the Payment Frequency, you can set it to be Monthly, Quarterly, or Yearly. In the Term area, you can set the total Number of Months, Years, or Weeks. You can also set your Interest Rate here. NOTE: These fields, once the contract is initially saved, will also become un-editable, so make sure you get the info in the way you will want it from the start. Read the note above on how to delete the contract if you saved the info the wrong way.
Total Financed - This section details the total amount the customer is financing, the tax, and gives you fields to enter any Rental Credit that may apply or Down Payment that will reduce the total. You can also add a Security Deposit if you need to take one. This deposit is one that will be returned to the customer after the rental is complete, if everything goes well with the item. Please note that these fields are only editable during this initial creation of the contract. Once you save it, these fields that have values entered in them will be visible to show those respective values, and any that had nothing entered will not display, and neither can be edited after that initial save.
Item Search - You can Search for and add the item or multiple items for the Rental Contract here. You can rent as many items as you like in a single contract.
Payment Details - This section displays the base amount for the Monthly Rental Payment, with the interest rate already combined, if any. It will also populate your Monthly Maintenance and/or Monthly Protection fee amounts. All three of those fields can be edited, if you need. NOTE: After you create this initial contract and save it, you will not be able to edit these fields any longer, so make sure they are set correctly. You can also set the Rental Payment to whatever amount you like and click the Lock icon if you want to ignore the automatic amount that populates there. Doing so will likely recalculate the total number of payments needed to pay off a Rent to Own contract, but will not affect a Rent Only contract in that way. If you save a contract with incorrect numbers, you will need to delete it (go to Modules > Rental Contracts > click on the Contract ID Number, find the Delete button near the bottom of the panel and click it), and then re-create the contract with the correct information.
Payments - This area shows how many payments are scheduled and how much each payment needs to be. If you click on Scheduled Payments you'll see a schedule like this one:
In addition to the payment breakdown displayed in the Payment Schedule, you can also click on Next Payment Amount to see a breakdown of the components of just the monthly payment, like this:
Auto Pay - If you want the system to automatically bill the customer each period, set this to ON. You can click the Manage link to work with cards already saved for the customer. You can also click to Add Primary Card to add one, and you can Add Secondary Card (in case the primary fails for whatever reason). A Secondary Card is not required by our system. Please note that the Credit Card Automated Settings to retry failed card charges in the Settings for Rental Contracts will not work if this setting isn't ON. If the Primary Card should fail, the Secondary is charged, and no extra fees are charged to the customer. If you plan to allow the customer to mail in checks or make payments in person or by phone, you can set this to OFF.
Summary - Once all of the fields in the Add Rental Contract panel have been filled in, the Total Financed and the Due Today fields will be populated with their final amounts.
Fees- You can have Late Fees on or off in this area, and you can configure any Grace Period you might want to allow and how much to charge for the Late Fee Amount.
Rental Item(s) - This area will display the Line Item(s) being rented in the same manner as the Register, including a thumbnail image. You can click the Serial Number button if you haven't yet added that, or you can edit a number that's been added. You can manually set the Price, if needed, the Quantity, and by clicking the Price Tag icon in the Discount column, you can set a Line-Item Discount by percentage off or dollar-amount off, as needed.
Contract Functions - Rental Contracts have several features with buttons at the bottom of which you should be aware:
Upload Signed (Contract) - If you wish to use pre-printed contracts, after you have clicked the Collect Signature button and printed off one of your contract templates, you can scan or photograph them, then click this button to upload them to the Rain system cloud for secure storage.
Print - If you wish to print out the dynamic contract you configure in the Rent to Own Settings area for signature, all fields you entered in that form contract will be auto-filled with the terms you have entered in this panel. You can have the customer initial and sign, then you can either scan the document or photograph it and then it can be uploaded to the Rain system cloud for secure storage. You can also click the button to Collect Signature to load one of your pre-saved contract templates. Please note, this will require an integrated processing terminal that allows on-screen signatures, currently only provided by Worldpay. If you do not do integrated processing with Worldpay, you will need to use the Upload Signed function.
Once you have completed all steps, click the Save button to finalize the contract.
Please Note: Most of the fields that are editable in this contract creation panel will be permanently set after this save, so make sure all of your information is correct before you save the contract!
If you have incorrect information in any of the areas noted above that are not editable after the save, you will need to delete this contract and recreate it with the correct information. To delete it, go to Modules > Rental Contracts > click on the Contract ID Number, find the Delete button near the bottom of the panel and click it, and then re-create the contract with the correct information using the steps detailed above.
Whether or not an initial or down payment is being made, you will be taken back to the Register where the Customer and a line item for the Rental Contract will be loaded. If the customer owes nothing today, the line item will still be there so a receipt can be given to the customer to document the start of the contract.
Please note that since you do all applicable Discounts when creating the Rental Contract, you do NOT have the option of discounting the individual payments in the Register. Global Transaction Discounts (with the % button on the right in the Discount line) and Customer Discounts will not override this. You CAN, however, manually change the Amount field, if needed.

Below are common scenarios and questions that we have encountered along with answers on how to solve the issues in the Rental Contracts system:
Question:
I have a student that is renting an instrument, and after 6 months they have grown and need to size up from the 1/2 size to the 3/4 size. What do I do?
Answer:
The way to handle this is through the Exchange option. Load the Customer into the Register, and in the Customer Actions in the upper right (the icons above the Date and Time) click to open the Customer Actions panel. Find the Rental Contract and click to open it. You'll see the Exchange button at the bottom. After clicking the Exchange button, click to transfer to A New Rental Contract. You also have the option of preserving whatever pricing was used in the previous contract, if needed. Once you make your selection, the system will pull over the customer information and their rental credit (principal, down payment, and previously accrued credit) from the existing contract and will add it into a new contract. Please note, under Settings > POS Settings > Rental Contracts you can configure how much of what a customer has paid in a rental will go through as credit on a new one in the Contract Exchange Profiles area.
Question:
I have a student that is renting an instrument, and after 6 months they have grown and need the full size and they want to purchase it outright. What do I do?
Answer:
The way to handle this in our system is through the Exchange option. Open the Rental Contract in the Register, and at the bottom you'll see the Exchange button (see image above). After clicking the Exchange button, you would choose the option to transfer to Credit A New Sale.
Question:
A customer comes in and wants to make a lump sum payment. Will the scheduled payments be able to handle any odd payment amount?
Answer:
Yes. Let's say the customer's monthly payment is $40 and they come in and pay $100 in January. Their payment for January and February will show as completed. March will show a partial payment of $20. When March rolls around, they will owe the remaining $20.
Question:
The customer's payment with tax shows $25.50 on the Scheduled Payments calendar, but when I go to collect money in the Register, the payment with tax shows $26.13. Why are they different?
Answer:
The Scheduled Payments area is an estimate created at the time the payment schedule is created. The principal and fees will not change, because those are signed into contract. Tax rates can change and that is out of the store's hands. Our system will use the current tax rate in the Register and charge that as the tax. A recent change to the tax rate would be the reason things may not show up exactly the same. Tax changes do not happen frequently, so an issue like this is very rare.
Question:
If the tax changes, will the Scheduled Payments area be messed up by payments that are less or more because of tax?
Answer:
No, it will retain the same number of payments, frequency, and end date.
Question:
If the tax rate changes and a customer wants to know what their next payment amount will be, how can I find that information?
Answer:
In the Rental Contract you can see Next Payment Amount. When you click it, you will see a breakdown of everything that goes into the payment. You can open the contract either from the Register with the customer loaded, or from Modules > Rental Contracts and clicking on the contract number.
Question:
A student rents an instrument for 6 months and decides that they hate instrument lessons and they want to quit. Their parent comes to return the instrument and is not interested in getting a new instrument or recouping any of the credit. What do I do?
Answer:
Choose the Return option at the bottom of the RTO contract. This will place the item back into inventory and close out the contract.
Question:
As the merchant, I still own all of the instruments that I am renting out. Where is that inventory stored during the rental?
Answer:
Our system takes the item from "In-stock" to "Reserved". That means it will still show as owned inventory on your books, but it won't show up as an option to rent or sell until it is returned. So when you look at the product's inventory, it may appear as if all of the items are in stock (but the On Hand quantity will be the number available to rent), but if you go to the Register to start a new Rental Contract, only items not already on contract will be visible to rent.
Question:
My customer believes there is a discrepancy with some payments. How can I verify actual payment information?
Answer:
One place you might look to see payment information is in the Rental Contract under Payments Collected. This number will show you amounts collected and the dates they were collected. You can use this as a reference to look up transactions on specific dates. The Attempted Payments area above what is pictured below has a See More link you can click that will give you details on why payment attempts might have failed. You can also look at the customer's History tab under Customers > Customers after searching for and clicking on their name.
Question:
I have someone on Autopay that wants their bill pushed back a couple days because they need to wait until they get paid. How do I do that?
Answer:
Open the contract and in the Payments area, click on the Payment Due Date field. You can adjust the date and the Scheduled Payments area will adjust to the new date. Be sure to Save at the bottom when you're done.
Question:
What happens if somebody's charge doesn't go through because of a bad card on file?
Answer:
If the customer has Autopay turned on, the system will retry to charge the card based on the settings configured in Settings > POS Settings > Rental Contracts. Scroll down to the Credit Card Autobill Settings area and click the Configure button for retrying cards.
Question:
Somebody called in with their new card and they want to be billed right now. How do I do that?
Answer:
If the customer would like a new card charged immediately, you would go and make a payment through the Register as a normal credit card transaction using the Pay button from the main Rental Contracts page, or with the Make Payment button if you are viewing the open contract. The Autopay requires time to set up the tokenization it uses for the payments, so it cannot go through immediately that way.
Question:
A customer completes their payments for a Rental Contract so they now own the instrument. They contact me as the store saying that they wanted to trade it in before they completed their payments but they forgot. Is there a way to undo the last payment and send the item back into inventory?
Answer:
There is currently not a way to undo completed payments from the original, completed Rental Contract. You would need to treat it as a Trade-In using the Register. Question:
How does rental credit transfer from contract to contract or from contract to sale? I want 40% of principal from the first 12 months to transfer as credit, but I don't see a way to do that in the system.
Answer:
Each merchant has their own way of handling rental credit being transferred. Some take X% of the first year's payments, some take X% of all payments, and others do something else entirely. You are able to go to Settings > POS Settings > Rental Contracts and scroll down to the Contract Exchange Profiles area, and you can set up profiles for different departments, as pictured below. You can either transfer a percentage of the principal, or choose a number of payments and the percentage of principal that will transfer:

What do I do? Answer: The way to handle this is through the Exchange option. Load the Customer into the Register, and in the Customer Actions in the upper right (the icons above the Date and Time) click to open the Customer Actions panel. Find the Rental Contract and click to open it. You'll see the Exchange button at the bottom. After clicking the Exchange button, click to transfer to A New Rental Contract. You also have the option of preserving whatever pricing was used in the previous contract, if needed. Once you make your selection, the system will pull over the customer information and their rental credit (principal, down payment, and previously accrued credit) from the existing contract and will add it into a new contract. Please note, under Settings > POS Settings > Rental Contracts you can configure how much of what a customer has paid in a rental will go through as credit on a new one in the Contract Exchange Profiles area. Question: I have a student that is renting an instrument, and after 6 months they have grown and need the full size and they want to purchase it outright. What do I do? Answer: The way to handle this in our system is through the Exchange option. Open the Rental Contract in the Register, and at the bottom you'll see the Exchange button (see image above). After clicking the Exchange button, you would choose the option to transfer to Credit A New Sale. Question: A customer comes in and wants to make a lump sum payment. Will the scheduled payments be able to handle any odd payment amount? Answer: Yes. Let's say the customer's monthly payment is $40 and they come in and pay $100 in January. Their payment for January and February will show as completed. March will show a partial payment of $20. When March rolls around, they will owe the remaining $20. Question: The customer's payment with tax shows $25.50 on the Scheduled Payments calendar, but when I go to collect money in the Register, the payment with tax shows $26.13. Why are they different? Answer: The Scheduled Payments area is an estimate created at the time the payment schedule is created. The principal and fees will not change, because those are signed into contract. Tax rates can change and that is out of the store's hands. Our system will use the current tax rate in the Register and charge that as the tax. A recent change to the tax rate would be the reason things may not show up exactly the same. Tax changes do not happen frequently, so an issue like this is very rare. Question: If the tax changes, will the Scheduled Payments area be messed up by payments that are less or more because of tax? Answer: No, it will retain the same number of payments, frequency, and end date. Question: If the tax rate changes and a customer wants to know what their next payment amount will be, how can I find that information? Answer: In the Rental Contract you can see Next Payment Amount. When you click it, you will see a breakdown of everything that goes into the payment. You can open the contract either from the Register with the customer loaded, or from Modules > Rental Contracts and clicking on the contract number. Question: A student rents an instrument for 6 months and decides that they hate instrument lessons and they want to quit. Their parent comes to return the instrument and is not interested in getting a new instrument or recouping any of the credit. What do I do? Answer: Choose the Return option at the bottom of the RTO contract. This will place the item back into inventory and close out the contract. Question: As the merchant, I still own all of the instruments that I am renting out. Where is that inventory stored during the rental? Answer: Our system takes the item from "In-stock" to "Reserved". That means it will still show as owned inventory on your books, but it won't show up as an option to rent or sell until it is returned. So when you look at the product's inventory, it may appear as if all of the items are in stock (but the On Hand quantity will be the number available to rent), but if you go to the Register to start a new Rental Contract, only items not already on contract will be visible to rent. Question: My customer believes there is a discrepancy with some payments. How can I verify actual payment information? Answer: One place you might look to see payment information is in the Rental Contract under Payments Collected. This number will show you amounts collected and the dates they were collected. You can use this as a reference to look up transactions on specific dates. The Attempted Payments area above what is pictured below has a See More link you can click that will give you details on why payment attempts might have failed. You can also look at the customer's History tab under Customers > Customers after searching for and clicking on their name. Question: I have someone on Autopay that wants their bill pushed back a couple days because they need to wait until they get paid. How do I do that? Answer: Open the contract and in the Payments area, click on the Payment Due Date field. You can adjust the date and the Scheduled Payments area will adjust to the new date. Be sure to Save at the bottom when you're done. Question: What happens if somebody's charge doesn't go through because of a bad card on file? Answer: If the customer has Autopay turned on, the system will retry to charge the card based on the settings configured in Settings > POS Settings > Rental Contracts. Scroll down to the Credit Card Autobill Settings area and click the Configure button for retrying cards. Question: Somebody called in with their new card and they want to be billed right now. How do I do that? Answer: If the customer would like a new card charged immediately, you would go and make a payment through the Register as a normal credit card transaction using the Pay button from the main Rental Contracts page, or with the Make Payment button if you are viewing the open contract. The Autopay requires time to set up the tokenization it uses for the payments, so it cannot go through immediately that way. Question: A customer completes their payments for a Rental Contract so they now own the instrument. They contact me as the store saying that they wanted to trade it in before they completed their payments but they forgot. Is there a way to undo the last payment and send the item back into inventory? Answer: There is currently not a way to undo completed payments from the original, completed Rental Contract. You would need to treat it as a Trade-In using the Register. I want 40% of principal from the first 12 months to transfer as credit, but I don't see a way to do that in the system. Answer: Each merchant has their own way of handling rental credit being transferred. Some take X% of the first year's payments, some take X% of all payments, and others do something else entirely. You are able to go to Settings > POS Settings > Rental Contracts and scroll down to the Contract Exchange Profiles area, and you can set up profiles for different departments, as pictured below. If you use the Point of Sale and the Rental Contracts module, you will see a tab in your Edit Customer panel for Rentals. By default, it will display the active Rental Contracts for the customer, and if your store is in the Music industry, you'll see a column for Student Name. You can open any contract listed by clicking on its ID Number, and you can make payments on any of them from that view.
